This article will guide you through exporting emails from MailStore into a "Folio PDF", or a single PDF that contains multiple emails in a user friendly interface.
TABLE OF CONTENTS
Requirements

- MailStore Desktop Client
- Microsoft Outlook
- Adobe Acrobat (Standard or Professional edition)
- Note that Acrobat Standard/Professional are paid editions of Acrobat. The free edition of Acrobat, "Acrobat Reader", is not compatible with this process.
Exporting emails to PDF
Searching for the emails
The first step is to find the emails that you're looking to export. You can either use the quick search in the top left, or do a full search from the "Search Email" page:
Quick Search | Full Search |
---|---|
Exporting the emails to PST
Now that you have your list of emails to export, highlight the emails by holding down the control key (Ctrl) and clicking onto the emails. Pressing Ctrl and A selects all emails. Right-click on the highlighted emails, then select Export to... -> Microsoft Outlook PST File:
A window will appear that allows you to configure the export settings:
- Ensure that Export E-mail to a New or Existing PST File is the selected option.
- Click the ... button next to the "File Name" field, and choose a name/place to save the PST file. We recommend your desktop, as this is just a temporary file that you will delete later.
- Make sure Retain folder structure is checked.
Once you have done the above three steps, click Next > and the export will begin. A small window with a progress indicator will appear, notifying you of the export's progress.
If you have multiple search queries that you would like to consolidate into a single PDF, you can perform the export steps multiple times on the same PST file. After the first export completes, perform another search and then follow the steps to export the emails to PST, but choose the same output file when naming the export (Step 2 above). This will not overwrite the file, but instead append the new emails to it.
Opening the PST in Outlook
Open Microsoft Outlook. Click File and then select Open & Export. Then click Open Outlook Data File:
Make sure NOT to click Import/Export!
A file select window will appear- open the PST file you exported from MailStore in the previous section.
Go back to your mailbox view in Outlook. Under your folders, you will now see a header with the name of the file you exported. Expand it, and then drill down into the folder named Mailstore Export:
In this folder, you will find all your exported mail sorted by the account it was exported from, and then the folder the message was originally contained in within the source mailbox.
If you would like to review the messages in your export and remove any that you would not like to include, this is an excellent time to do so. Simply browse through the exported items and delete any emails you would not like to include in the final PDF as if you were deleting an email in your inbox. The deleted items will not be included in the PDF.
Right-click the folder containing all the messages you would like to convert to PDF, and choose Convert "..." to Adobe PDF:
Follow the prompts to save the PDF file and the conversion process will begin. When the operation completes, you can access your PDF of the emails that you converted from the location you saved it to.
Cleanup
The last step is to remove the temporary PST file(s) you created:
- In Outlook, right-click the header for the PST file and choose Close "...":
- Quit Outlook
- Delete the PST file that you created when you exported the emails from MailStore.
